General Provisions (applicable to all services and treatment packages)

Clinic-recommended cancellation or cycle failure

Where a cycle is cancelled or discontinued on the advice of the Avenues clinical team (for example, poor response, no eggs collected, fertilisation failure, no surviving embryos, or thaw failure), patients automatically qualify for a pre-determined partial refund. The amount varies by treatment package and stage reached and ranges from £100 to £2,300.

Patient-requested cancellation or withdrawal

Where a patient chooses to discontinue or cancel a cycle against the advice of the Avenues clinical team, a £400 administration fee will be deducted from any applicable refund.

Full details of the refund amounts and conditions specific to each treatment package will be provided in writing prior to signing the treatment consent form and making payment.

Appointment Rescheduling:
We understand that life can be unpredictable, and we always try to be as supportive and flexible as possible. At the same time, consultation appointments at Avenues are limited and require advance clinical preparation, so we ask patients to follow the policy below.


Rescheduling your appointment
• You may reschedule your consultation once without charge if you provide at least 48 hours’ notice.
• If you need to reschedule with less than 48 hours’ notice, an administration fee of £200 will apply.
• Requests made within 24 hours of your appointment, or missed appointments, cannot be rescheduled without a new consultation fee.

Cancelling your appointment
• Cancellations are not eligible for a refund.

Exceptional circumstances
• We understand that genuine emergencies can occur. In cases such as serious illness or bereavement, please contact your Avenues Liaison as soon as possible so we can review your situation and reschedule your appointment.

Why we have this policy
• Consultation appointments are reserved exclusively for each patient.
• Our clinical team prepares in advance by reviewing medical history and test results.
• Short-notice changes often prevent us from offering that time to another patient in need.
